Registration Questions

How do I register?
To register for one of our sessions, click on the Register button on our web site.  If you have not already set up an account, you should do so before you can continue to the registration section;  if you have already set up an account, after logging in you can get to the registration section by clicking on  “Go to Registration” at the top right hand corner after reviewing your Account Profile and Participant Information.  (Please note that you should have your child(ren) set up as participants via the Account Profile page before you can register for a session.)

Once at the Registration page, select your child as a Participant and complete the other information.  Then you can select a session and opt to add Before and After Care.  To select sessions for another child, scroll down, click on Participant #2, and repeat the previous steps.  When you are done selecting sessions, click on the Terms and Conditions button, print out the page so that you have record of what you have registered for, and then click “Submit Registration.”  (Once you click Submit, you should not go back to the Registration page;  if you feel you have made a mistake or need to change a session, please call our office at 703-444-8805.)

You will now come to the Payment Options page where you can add sessions into your shopping cart and proceed to check out.  

Is there any other paperwork that I need to submit with my registration?
Yes – as we are a State-licensed camp, we are required to collect copies of the following:  up to date physical exam report, up to date immunization report, and copy of Proof of ID.  The easiest way to obtain copies of the  physical exam and immunization reports is to contact your child’s school and get a copy of the blue school health form or you can contact your doctor’s office.  

In addition we also need to collect some other information required by the State.  In order to complete this, please log back into your Account and go to the Participant Info section.  Click on the box next to “Click here if you are registering for camp programs” and a new section will appear.  All information needs to be complete in order to save the information.  This information needs to be complete for each Participant before coming to camp.

Does my child need to get a new physical exam in order to come to camp?
We do not require that your child have a new physical exam before coming to camp.  Typically, the most up to date version is acceptable.

Why do I have to submit so much paperwork for my child to attend your camp?
Because we are a state-licensed camp, we are required to collect certain information and paperwork for each child.  Within your Account Profile, you should complete the Additional Information Section for each Participant.  This information includes allergy and medication information, complete parent information, emergency contact information, authorized pick up information, child physician information, and statement of consent.  Parents should review and update this information each year.

Each camper will also need copies of a recent physical exam and immunization report as well as Proof of ID (birth certificate of passport).  Physical exam and immunization reports will be kept private in our files. Once we have documented the copy of Proof of ID, it will be shredded.  

I’ve participated in one of your other programs.  Should I create a new Account to register for camp?
No - our system has been created so that one Account can register for any of the DMB Sports family of programs – Cascades Flag Football, Loudoun Field Hockey Association, and LoCo Ladies Basketball.

I have another email address at which I would like to receive email notifications.  Should I create another Account?
You should not create a second account.  The best way to do this is to enter the email address in the Special Notes section within the Registration page so that we can add it to our email distro list.

How do I know if my registration has gone through?
Your registration is only complete once we have received a payment for your session(s).  If you return to the registration page and select your child as a Participant, after the page loads the sessions the system will note in bold red text which sessions you have already registered for.

How do I know if my payment has been received?
Once we receive and log in your payment, we will forward you an Account Summary email.  This will list the sessions you have registered for as well as a list of open balances and a link to our Online Payment Center.

How do I know what I have registered for?
At any time, you may log into you account and return to the Registration Page. Select your child as a Participant and after the page fully loads, the system will note in bold red text which sessions you have already registered for.

What is the payment schedule?
You can find the payment schedule information for both our Holiday and Summer Camps on the Hours and Rates page.

What happens if I can’t come to the week I’ve registered for?
If you can no longer attend the session that you have registered for, you can switch it to another session at no extra charge.  Please view our Terms and Conditions for more details.

Extended Care Questions

I’m not sure if I will need extended care – do I have to register for it when I register for a camp session?
If you are not sure that you will need either Before or After Care, you do not need to select it when registering for your session.  You may choose to add it at least one week in advance.  To do so, please send us an email so that we can add it to your Account.

How do I add Before and After Care?
To add extended care to a session, click on the Before and or After Care boxes under the session that you are registering for.  If you have already registered for a session and only need to add extended care, please send us an email so that we can update your Account.  

I no longer need extended care – can I get a refund?
As long as we receive at least one week’s notice, you may receive a refund for extended care.

Medical Questions

My child has diabetes – are you able to help her with testing?
Absolutely.  Our Camp Directors are Medication Administration Trained and have received specific training on diabetes.  It is very important that all parents provide a written emergency action plan, a list of those signs of highs and lows particular to their child, a log book, as well as a copy of our Medicine Authorization Form.  The only thing we cannot do is administer insulin;  if your child needs insulin and cannot administer it him/herself, a parent will need to visit camp to do so.

Camper Group Questions

How do you create groups within each program?
Each week, we divide all registrants by age into smaller, more manageable groups.  Typically, there is at least one group per age.  In the event that there is a split age group, for example ages 8 and 9, we keep with the older 8s with the younger 9s.

Can I keep my child with his friends and siblings?
We will keep friends and siblings together within one year age difference.  You may note this in the “Keep with Friend” field when you register.

What is your daily schedule like?
The exact schedule varies from program to program but in general:
8:45-9:00 – camper sign in
9:00-11:30 – all programs participate in morning activities
11:30-12:30 – Sports Camp/Sport-Trek Challenge Camp have lunch;  specialty camp programs go to pool
12:30-1:30 – specialty camp programs have lunch
12:30-3:45 – Sports Camp/Sport-Trek Challenge Camp participate in afternoon activities
1:30-3:45 – specialty camp programs participate in afternoon activities

Staff Questions

What is your camper to counselor ratio?
Our ratio is 12:1 which allows us to focus on cooperation, individual achievement, and having fun!

What are your staff’s qualifications?
Our staff members have experience in the program that they are leading whether is be sport, art, or nature as well as working with children. All of our staff members complete a typical interview process, complete 10 hours of training annually, and are CPR and First Aid certified.  Our Assistant Camp Directors are those who are completing a college program in a directly-related field such as Sports Management.  Our Directors are those who have completed a degree in a related-field with some of whom are currently working as teachers.
